At the request and under the guidance of NIU faculty, ITS has been working throughout the Summer and Fall 2009 to develop a building block for Blackboard that will allow NIU faculty to publish grades from the Blackboard Grade Center directly to MyNIU. Faculty who use the Blackboard Grade Center to calculate final grades will be able to choose to export final grades from Blackboard instead of manually entering grades in MyNIU, saving time and the reducing the opportunity for data entry errors. After submitting grades using this new tool, faculty simply login to MyNIU to view the final grades and post for student viewing.

This new tool is currently being piloted during the Fall 2009 semester with faculty who are using Blackboard and teach courses that end prior to the official end of the semester in December. After making any final adjustments per faculty feedback, the tool should be available campus-wide in Blackboard beginning December 4, 2009.

Features:

  • Allows a one-time submission of final grades from Blackboard to MyNIU
  • Works with all types of Blackboard courses:
    • Individual Courses
    • Master Courses
    • Combined Courses
  • Compatible with all NIU PeopleSoft courses regardless of grading schema

Requirements:

  • External column must be set in the Grade Center prior to using the tool
  • Only instructors of record are allowed to submit grades
  • Faculty must login to MyNIU to confirm grades and to complete posting

Technical Details:

  • Submission will not happen in real-time. Submitted grades may take up to 15 minutes to appear in MyNIU.
  • Submission will be successful if all of the following are met:
    • Valid/Current PeopleSoft Course
    • Valid Instructor of Record
    • Courses must have a grade roster in MyNIU
    • Grades should be blank at MyNIU. Blackboard grades will be ignored whenever grades are already present at MyNIU.

Steps for Use:

  1. Customize the default letter schema in the Grade Center to match the grading scale for the course
  2. Assign the letter schema to the total score and/or weighted total column
  3. Set an external grade column in the Grade Center that contains the final grade
  4. Review scores and/or letter grade in the external grade column and assign letter grade to be exported to MyNIU
  5. Login to MyNIU to confirm grades and complete posting

Note - Steps 1 and 2 described below assume use of the Grade Center to tabulate a final score and if desired apply weighting to calculate a final grade for the course. Faculty choosing to manually make these calculations and/or simply post the letter grades in Blackboard can add a new column manually, enter final grades for each student, and then skip to step 3.

Step 1: Customize the default letter schema in the Grade Center

The Grade Center has a default grading scale, also referred to as "Grading Schema" that can be used to convert a grade score or percentage to a letter grade. The grading schema can also be applied to Total and Weighted Total columns, whereby converting students' final score to a letter grade.

However, the default letter schema in the Grade Center likely will not match the grading scale you use for your course and therefore you need to customize the letter schema in the Grade Center to match your course grading scale. You can also choose to add a new grading schema if you wish.

  1. In the Grade Center, click Manage from the Action Bar
    Click Manage
  2. Click Grading Schemas from the Manage dropdown listing.
    Grading Schemas
  3. Find the Letter Grading Schema to change and click its Modify button.
    Modify Schema
  4. Remove the values in the schema that aren't included in the course grading scale, such as the + and - letter values by clicking the Remove Row button for each row to be removed. The first row, A+ can not be removed. Change the value to A.
    Remove Schema Row
  5. Adjust the score percentage values to match the course grading scale
    Modify Schema Percent
  6. Click the Submit button to save the changes.
    Submit

Step 2: Assign the letter schema to the total score and/or weighted total column

If calculating final course grade based solely on a percentage of total points without any weighting, assign the Letter schema to the Total column. If the final grade is based on weighted values, configure weighting and then assign the Letter schema to the Weighted Total column. The steps below describe assigning the Letter schema to the Weighted Total column.

  1. In the Grade Center click the down arrows in the Weighted Total column.
    Modify Weighted Total
  2. Select the Modify Column option.
    Modify Column
  3. For the Primary Display option, select Letter
    Select Primary Display
  4. For the Secondary Display option, select Percentage
    Select Secondary Display
This will display the letter grade for students in My Grades based on the Letter grading schema and display both the letter grade and weighted percentage in the Grade Center.

  5. Click the Submit button to save the changes.
    Submit
  6. Note: A Success message and the changed column appear.
    Changed Display

Step 3: Set an external grade column in the Grade Center that contains the final grade

One column in the Grade Center must be designated as the external grade prior to using the Grade Submission Tool. When choosing to allow Blackboard to calculate grades automatically based on total score, use the Total column. If the final score is weighted, modify the Weighted Total column to configure weighting and then select the Weighted Total column as the external grade. Or, if simply creating a new column and manually posting final grades for students to view in Blackboard, designate that column as the external grade. No matter which approach to calculating and displaying the final grade is selected, follow these steps to set the external grade column:

  1. In the Grade Center click the down arrows located to the right of the title of the column to serve as the external grade
    Weighted Total Down Arrows
  2. Select the Set as External Grade option.
    Set as External Grade
  3. The Grade Center will reload and green check-mark appears next to the column title confirming that the selected column is now the external grade.
    External Grade Confirmation

Step 4: Review scores and/or letter grade in the external grade column and assign letter grade to be exported to MyNIU

After properly configuring the Grade Center, and setting a column to serve as the external grade, the Grade Submission Tool may be used to export final grades to MyNIU.

  1. In the Control Panel under Course Options, click Manage Tools.
  2. Manage Tools
  3. Click Building Tool Availability.
    Building Block Availability
  4. Scroll down to find Grade Submission Tool and click in the check-box next to it.
  5. Enable Grade Submission Tool
  6. Scroll down to the bottom of the page and click the Submit button.

  7. Submit
  8. Go back to the Control Panel and under Course Tools, click Grade Submission.
    Grade Submission
  9. Click Submit Grades
    Submit Grades
  10. Review the grades displayed from the column designated as the external grade column and the Roster Grade. If the primary display for the external grade column was set to a letter, the Roster Grade matching the letter grade is displayed.
    Select Grades
If a score or percentage is displayed, select the Roster Grade for each student that corresponds to the final grade earned. Note - Whatever value is displayed in the Roster Grade field is the final grade that will be exported to MyNIU.
    Select Grades
For each Roster Grade that is selected, the Send option is automatically checked, noting that the grade is ready to be submitted.
    Select Grades
  11. Click the Submit button to submit grades
    Submit
  12. Confirmation screen appears. You will be notified by e-mail once the submission process is complete.
    Grades Sent

Step 5: Login to MyNIU to confirm grades and complete posting

Wait at least 15 minutes after submitting letter grades from Blackboard. Then, login to MyNIU to the Self Service Faculty Center to confirm grades submitted from Blackboard and post. Note - Corrections can be made to grades in MyNIU at this point before final posting. For more information regarding using MyNIU, click here.
